The Challenge

Linesight’s commitment to collaboration and responsiveness has made them a key player in the dynamic construction landscape. However, their existing document management system was hindering their ability to seamlessly connect with established tools and workflows. Their existing web-client software, while functional, no longer met the demands of a modern, global consultancy. It lacked the integration and efficiency needed to seamlessly connect with their established tools and workflows. To address this challenge, Linesight sought a cutting-edge workspace platform built on Microsoft Office 365, fostering a more collaborative and streamlined work environment.

Linesight recognised the need for a transformative solution. They envisioned a platform that would not only manage project-related content but also foster seamless communication and collaboration across their vast 1,400-strong workforce.

The Solution

Linesight appointed Spanish Point to design and implement a next-generation Document Management System (DMS). A smooth user transition was paramount, so the project included migrating historical content, along with comprehensive end-user training and change management to ensure user adoption. To help users envision the new system’s capabilities, a prototyping phase was conducted upfront to capture their specific requirements.

The resulting DMS solution leverages the power of Microsoft’s cloud-based tools: SharePoint for document storage and organisation, Microsoft Teams for seamless collaboration, and elements of the Power Platform for automation and customisation. Spanish Point’s own SMART Workplace solution further enhances the platform’s functionality.

Linesight’s commitment to integration ensured the DMS seamlessly connects with their existing ecosystem, including Salesforce and Azure Active Directory (AAD).

Related Technologies

Spanish Point planned and carried out a full migration of data from systems like Workspace, keeping the data quality and consistency. We set up the Office 365 environments, such as SharePoint, Teams, and Power Automate, for the DMS.

We also automated common tasks and processes with custom workflows, making them faster and simpler For example, the creation of SharePoint sites is now fully automated through integration with Linesight’s CRM. Finally, comprehensive testing was carried out to ensure quality of the delivered solution.

Intuitive navigation, robust access controls, and a two-stage approval workflow with delegation capabilities further enhanced the user experience and streamlined document management. Additionally, Spanish Point integrated group email features and project team management tools directly within the DMS, fostering seamless communication and collaboration.
